The Position: Conference/Trade Show Coordinator

Our growth is fueled by individuals who share our passion. We currently have an opening for a Conference/Trade Show Coordinator who will support our sales and marketing team.  

The Conference/Trade Show Coordinator will plan and manage the organizations’ appearance at practitioner and consumer conferences, tradeshows and events. This person will be responsible for managing the calendar of events (determined by the channel and marketing teams) and developing and carrying out the event plan for individual events.


Core Responsibilities include:

·       Execute against the conferences/tradeshows/events selected by the channel managers.

·       Manage the logistical calendar for all events – plan the scope of the event (i.e., time, location, program cost, speaker opportunities).

·       Arrange booth space, payments, event-related show services and booth logistics with event organizers (set-up, break-down, electrical, etc.).

·       Communicate details with all on-site internal and external staff.

·       Coordinate and source new booth materials with external companies and internal stakeholders.

·       Coordinate with channel managers regarding product to be displayed and/or sold at conferences.

·       Work in concert with channel and marketing teams to ensure conference materials are completed in a timely fashion to ensure delivery to conferences (catalogs, price-lists, product sheets, booth signage, coupons, giveaways, etc.)

·       Responsible for coordinating and shipping all materials to selected events.

·       Responsible for securing lodging for company staff attending events.

·       Monitor and report event expenses and process invoices with accounts payable.

·       Work with sales team to ensure accurate reporting of sales/commissions takes place in a timely manner.

·       Help set-up and improve workflow processes when and where needed.

·       Ensure department compliance with established standard policies and procedures.

·       Travel is required - as requested by manager, to attend conferences, tradeshows and events.



Must have a Bachelor’s Degree in Communications or Business Administration or equivalent work experience. Must have 2 years of experience in consumer facing customer service role. Must have a minimum of 1 year of tradeshow or event coordination experience. Proficiency in MS Office Suite (especially Word and Power Point) is required.


Ideal Candidates have the following traits:

·       2 years of experience in project management

·       Trade show/event/convention planning experience and/or certification

·       Proficiency in project management software (Asana)

·       Excellent verbal and written communication skills and the ability to work well with people at all levels are essential.

·       Strong planning, organization, and presentation skills are required. Some project management experience is desired.

·       Ability to prioritize and balance multiple projects simultaneously.

·       Comfortable with web-based project management tools and working knowledge of sales/customer service software.

·       Results driven, proactive, with the ability to relate to and work with a wide variety of customers.

·       Ability to work in a fast-paced, rapidly evolving work and market environment.
