The Position: Key Account Sales Administrator

Position Scope:

Provides administrative support for key account sales division with a strong emphasis on project tracking, order detail and follow through

Position Responsibility:

  • Prepares promotional contracts, new item forms, price changes and advertising contracts for chain retail accounts
  • Coordinates promotional orders for all Key Accounts to include: order receipt confirmation, order entry confirmation, maintaining order tracking sheet, promo reporting
  • Administrative assistance with key retailer programs
  • Completes tasks per the Key Account Deadline Calendar by proactively managing and prioritizing workflow
  • Maintains vendor portals for assigned accounts
  • Conducts FTP Maintenance and ensures current and relevant Sales documents are loaded and available for use
  • Consolidates information from various reports in Excel format
  • Monthly reporting for all Key Accounts
  • Analyzes information to ensure data accuracy and integrity
  • Prepares PowerPoint presentations for meetings and reporting using materials provided
  • Tracks and coordinates new item placement for all Key Accounts
  • Communicates directly with retailers and sales representatives on behalf of Key Account Managers as needed • Completes all filing and mailings as required
  • Maintains professional and technical knowledge by attending educational symposia; reviewing professional publications; establishing personal networks; participating in professional societies, etc. The above is not intended to be an all-inclusive list of responsibilities. Sales Administrator
Experience and Skills

  • 3+ years’ working in the Natural Food Industry with experience conducting new item submissions through execution for Whole Foods, Sprouts or Vitamin Cottage
  • Understanding of business flow to support promotional submission and execution, new item submission and support a PLUS
  • Hands on experience with SPINs and Vendor Portal data reports a plus
  • 2 years’ experience in an administrative sales/customer service position an asset • Strong skills set in Microsoft Office (Excel, PowerPoint, Word, Outlook)
  • Ability to concentrate in fast paced environment while focusing on attention to detail
  • Highly organized with tracking and filing of information to complete workload independently in a timely manner
  • Able to establish priorities and objectives while adapting to changes in workload and working conditions with emphasis on adhering to stringent deadlines without loss of productivity
  • Data entry experience required – alpha/numeric
  • Ability to analyze and interpret data
  • Excellent verbal and written communication (Deliver clear, concise and accurate messages both verbally and written)
  • Must be able to manage multiple priorities, work independently and be highly motivated Education and Certifications:
  • Associate’s Degree or the equivalent
