Summary

Buyer will work closely with the Supply Chain Director in processing purchase orders and maintaining positive relationships with vendors and customers alike. Key to success is constant communication while diligently maintaining customer and vendor files in relation to shipments, purchases, accounts payable and accounts receivable. Assist the Supply Chain Director and Sales Managers daily with miscellaneous purchases, customer shipments and random requests.

  • Minimum Education and/or Experience Required
  • High School Diploma
  • Experience with computer spreadsheet, word processing and data entry programs
  • Experience in working with QuickBooks Manufacturing helpful
  • 1 year experience currently working as a purchasing agent or 2 years’ experience currently working in a purchasing department.

Duties/Responsibilities

Departmental

  • Expedite all open purchase orders, document all changes and keep the Supply Chain Director and sales managers apprised of any changes.
  • Responsible for following up on all new purchase orders from order entry to shipment received
  • Be in constant contact with suppliers and sales managers and follow up on PO’s in process, lead times, shipment tracking, short or miss-shipments and their status
  • Responsible for negotiating with the suppliers when directed by the Supply Chain Director any problem lead times, shortages, miss-shipments or as specified by Supply Chain Director.
  • Communicate with warehouse personal on shipments sent and received.
  • Responsible for maintaining all needed supplies for office personnel.   
  • Keep the Supplier files up to date.
  • Keep departmental AP/AR files up to date.
  • Send documentation as requested by Sales Managers.
  • Monitor paperwork flow for accuracy.
  • Answer and field phone calls as needed.

Internal Relationships

  • Keep the Supply Chain Director informed as to the status of the all Purchase Orders.
  • Keep the Supply Chain Director informed as to supplier updates and/or changes.

All Other Areas

  • Communicate effectively with internal personnel, as well as external customers
  • Other duties as assigned by management

Physical Demands

  • Requires working at a desk with a computer for long periods.
  • Work in office environment.
  • Requires typing, bending, stretching, reaching and lifting.
  • Requires physical dexterity to work and operate office equipment.
  • Work may be stressful at times.

Non-Essential Duties/Responsibilities
